Class levels and streams
For: directors and head teachers (class levels), academic teachers too (streams and class teachers)
- A class level is a grade of a school, for example Standard I or Form 1. Class levels stay the same from year to year.
- A stream is a class of one class level in one academic year, for example Standard I A or Form 1 Blue. Streams are set up again for every academic year.
Class levels
Section titled “Class levels”Open the school and the tab Class levels. A new school already has the class levels of its type:
| School type | Class levels |
|---|---|
| Pre-primary | Baby Class, Middle Class, Pre-Unit |
| Primary | Standard I–VII (Darasa la Kwanza – Darasa la Saba) |
| Secondary | Form 1–4 (Kidato cha Kwanza – Kidato cha Nne) |
- Add class level: enter a short Code (unique in the school) and the name in English and/or Kiswahili.
- Rename: Edit next to a class level opens its code and its names in English and Kiswahili; change them and choose Save. The new name also appears in the names of its streams, for example “Standard 1A” instead of “Standard I A”.
- Order: use Move up and Move down.
- Deactivate: a class level that is no longer used can be deactivated; no new streams can then be created for it. Activate reverses this.
- Delete class level is only possible as long as the class level has no streams in any year. Otherwise deactivate it.
Streams of an academic year
Section titled “Streams of an academic year”Open the school, tab Streams, and choose the Academic year at the top.
- Choose Add stream.
- Choose the Class level and enter a Stream name, for example A, B or Blue. The app shows the full name, for example “Form 1A”.
- Optionally enter a Capacity, the maximum number of students. When a stream is full, the app warns when students are enrolled, but does not prevent it.
- Choose Add.
Copy streams from … (for example “Copy streams from 2026”) creates the streams of the previous year again in the selected year, with the same names and capacities but without class teachers and students. Streams that already exist and streams of deactivated class levels are skipped.
Check the streams carefully before choosing Add: the app cannot rename or delete a stream afterwards. Streams of a closed academic year can no longer be changed at all.
Class teacher
Section titled “Class teacher”Each stream has at most one class teacher. Choose the person in the column Class teacher of the stream. Only someone with the role Teacher, Academic Teacher or Head Teacher in this school can be class teacher. The change applies immediately, see Roles.
Students of a stream
Section titled “Students of a stream”Students next to a stream opens the list of students who sit in the stream. Choose another date under On to see who was in the stream on that day. The list shows the number of students, female and male, and the capacity.
